Access for lecturers and teaching assistants should be assigned using the appropriate Moodle role.
Before adding someone, confirm that the person requires access to the correct course and that the role being assigned matches the work they are expected to perform.
Lecturer access #
A lecturer may require access to:
- Add and edit course content
- Create activities and assessments
- Grade student work
- View course reports
- Communicate with students
- Manage selected course settings
Teaching Assistant access #
A teaching assistant may require access to support activities such as:
- Viewing course content
- Assisting with course management
- Supporting students
- Grading selected activities
- Managing forums or other assigned tasks
The permissions available to a teaching assistant may differ from those available to a lecturer.
Add a user to the course #
- Open the required Moodle course.
- Select Participants from the course navigation.
- Select Enrol users.
- Search for the person by name or UTT email address.
- Select the appropriate role, such as:
- Lecturer
- Teaching Assistant
- Select the user.
- Select Enrol users to complete the process.
The names of the available roles may vary based on the permissions configured for the course.
Before assigning access #
Confirm the following:
- The person has an active UTT account.
- The correct course has been selected.
- The correct role has been chosen.
- The person is authorized to access the course.
- Access is required for the current semester or course-development period.
Do not assign a higher level of access than is required.
Unable to find the person? #
A user may not appear in the enrolment search if:
- The Moodle account has not yet been created.
- The person has not previously accessed the Moodle environment.
- The wrong name or email address was used.
- The person is attempting to access the wrong Moodle environment.
- The account is inactive or suspended.
Submit a request to Support TLIS and include:
- Your full name
- Course code and course name
- Semester and academic year
- Name and UTT email address of the person to be added
- Required role
- Reason access is needed
- Screenshot of any error message received
Unable to enrol users yourself? #
Some courses may not allow lecturers to assign additional users directly.
In this case, submit a request to Support TLIS with the required information. Access will be reviewed and assigned based on the user’s approved teaching or support role.
Removing access #
When a lecturer or teaching assistant no longer requires access:
- Open the course.
- Select Participants.
- Locate the user.
- Review the user’s enrolment.
- Remove or suspend the course enrolment, where permitted.
Do not remove users who are still officially assigned to the course without first confirming the change through the appropriate academic or administrative process.
